Overview

 

Files Detailed View is a screen opened when you zoom in on something on the Files Tile. It has the information about the files that are recently added to Willow and info about unassigned files (not added to a workflow yet).

There are 4 tabs of the Files Detailed View: Recently Added Files, Personal Inbox, Team Inbox(es) and General Inbox.

Recently Added

 

  • This is the list of newly added groups of files, very useful for tracking what's new in the system. It is, basically, Recently Added List on the Files Tile zoomed in to show all the items.
  • It shows both the files added to inboxes and directly to workflows
  • Every item is called an Upload Group and consists of files added at the same time
  • Most recent items are at the top
  • It displays all the upload groups added since the beginning of the time
  • There are 3 types of upload groups:
    • Uploaded, for files added through the web interface by browsing or dragging
    • Scanned, for files forwarded by Collector application (previously scanned by a scanner)
    • Email, for files sent by email as email attachments
  • Time info in the upload is a roughly-rounded time ago
  • There are Uploaded To (All Inboxes / Personal / Team / General) and Uploaded By (Everyone / Me Only) Filters in the list
  • When an item is clicked, it leads to the Upload Group Details Screen

 

Upload Group

 

  • This is a file list of files in the upload group
  • User can get to this screen through Recently Added List or directly from the Files Tile
  • If there are any deleted files in the upload group, they are shown at the bottom, greyed out. “Completed” label is appended only to the files that were first completed and then deleted.
  • If some files from an upload group went to a workflow or were deleted, the number of unassigned files info is appended to the Upload Group Title
  • Upload Group Files order is - most recent first 
    • Deleted files are at the bottom - completed deleted (with “completed” label) first 
  • There is the Showing Filter (All / Unassigned) in the list

 

Inboxes

 

  • Inboxes are placeholders for files added to Willow, but still unassigned (meaning - not added to a workflow yet)
  • There are 3 types of inboxes:
    • Personal
      • Only that user can see the files
      • One per each user
      • Exists initially and can't be deleted
    • Team
      • Team members can see and operate with the files in it
      • Doesn't exist initially, but can be added (and deleted) when adding a team through Admin Interface
      • There can be an unlimited number of team inboxes in an organisation
    • General
      • All users in the organisation can see and operate with the files in it
      • One per organisation
      • Exists initially and can't be deleted
  • You can add files to inboxes by using the Upload Button or dragging files to the list area
  • Inbox upload rules:
    • The general rule is - if you try to upload an invalid file, the file will still be shown in the list, but with a red colour and a tooltip describing the error. As soon as the list is refreshed, red items will disappear. All valid files in the same upload group will still be uploaded even if some files are invalid.
    • All file types are allowed
    • Empty files cannot be uploaded
    • Files bigger than 100MB cannot be uploaded
  • On a team inbox, there is Uploaded By Filter (Me Only / All Team Members). Personal and General Inbox don't have filters.
  • Teams in the Team Tab Dropdown are ordered alphabetically with file count next to each team. The file count next to the Team label is the overall file count.
  • Below each inbox title, we show the email address of the inbox. You can use this address to send files directly to specific inboxes.
    • Please note that we append the name of the inbox to the end of the email address so the users can recognise the address in their emailing software easier (for personal inboxes, we append the person's name, team - the team name, organisational - the name of the organisation)
    • All spaces and characters that can't be recognized as part of the proper email address are replaced with “-”
  • Files in the inboxes order is - most recent first
  • Deleted files are not shown in the inbox file list
  • There is a select / deselect checkbox next to the each file
    • The only exception is the files uploaded invalidly
  • You can add unassigned files to a workflow by selecting them. All selected files will create a single processing job.
