Overview

 

  • A team is a group of people that can have a common file inbox
  • Teaming people can also be useful so the admin can add workflow permissions easier by assigning a right to a whole team, instead of assigning it person by person

 

Rules

 

  • Team List is alphabetically ordered
  • Team name has to be unique across the organisation
  • Team inbox is a files placeholder where team members may share files and operate on them
    • User can see files of all their team members
  • Team inbox may be turned on or off (so, teams could be created without an inbox)
  • Team inbox has a unique email address / MFD code you can use to send files directly to that team inbox by email
    • You can send files by email only when the team inbox is turned on
    • This info is shown only in the enabled state and if the team is being edited (not created)
    • Please note that if you turn the team inbox off, save changes, and then turn it on again, it will keep the old email address / MFD code
    • Email address contains MFD code and name of the team (all spaces and characters that can't be recognized as part of the proper email address are replaced with “-”)
  • When turning the team inbox off, all the files currently in the inbox will be deleted
  • Team can have zero members
    • This is allowed because of the situation when an administrator wants to create a team first, and then add members later
