Workflows
A workflow is a series of actions that will manipulate the files placed in it, actions are executed in linear order. Workflow processing starts when you add files to a workflow and finishes when all the workflow actions are successfully executed.
Actions
Actions are operations that can be performed on a file. There are a number of actions that can be used. Some of them are automatic, such as Stamp, Watermark, Rename or Upload to a cloud drive of your choice and some of them are manual and require someone's attention, such as Approve or WillowSign.
Ways to add files to Willow360
Files may be added directly to a workflow (and in that case, they immediately start their processing) or added to an inbox (and then distributed to a workflow later).
Files may be:
- Uploaded using the Upload Button on inbox lists or dragged directly to an inbox or a workflow tile
- Emailed to an inbox/workflow email address
- Scanned to a folder and then forwarded to Willow using the Collector Application
- Created by Willow by using Fill in a form action
Jobs
A job is a group of files added to a workflow at the same time. During the execution, a job rectangle on a workflow tile is displayed, so you can track the progress of the processing of your files.
Inboxes
Inboxes are storage for files unassigned to any workflow.
Types of inboxes:
- Personal - one for each user
- Team - used to share files between team members
- General - a common inbox for the whole organisation
Notifications
Notifications are used for informing a user about important tasks they need to do to continue workflow processing. They are presented by the bell symbol in the top right corner. For example, if a user is specified as an approver in some workflow, they will get a notification whenever a file is added to that workflow so they can approve the file and let it be further processed by the workflow.
